Job Description

PA / Office Manager required for a small investment management firm based in the heart of the West End. Providing PA support to a busy team of ten, you will also be responsible for office management duties. As sole support, you will ensure the smooth running of the office by handling all administrative, secretarial and office management duties for the London team. Ideal for an individual with a minimum of two years experience gained from within the financial services / professional services industry. Standards are high and excellent attention to detail is paramount. This role does require you to be office based four days a week, with one day working from home on a Friday. With an international client base, this business is successful, open, friendly and professional - ideal for someone who brings relevant experience, who is used to using their initiative and who enjoys a busy and varied role. 

PA duties will include:

  • Diary management
  • Arranging and confirming meetings
  • Travel arrangements
  • Managing annual leave process for the team
  • Supporting senior leadership team
  • Bigger projects - the more you are willing to be involved in the businesses the more responsibility you will be able to take on

 Office duties will include:

  • Managing /ordering stationery, office supplies, and consumables
  • Supplier management and liaison
  • Coordinating and organising social events, team meetings, and other team activities
  • Ensuring there are stationery and kitchen supplies
  • Assisting with managing the business development of the company, including arranging potential client / investor calls and following up
  • Facilities coordination with landlord

  • Happy to work in a small office environment
  • Personable, approachable and helpful manner
  • Excellent English language skills, both written and verbal
  • Discretion and confidentiality with company and client information
  • Strong MS Office, including Excel
  • Proven working experience as a personal assistant strongly preferred
  • Experience of working in a small financial services firm advantageous but not essential
