Job Description

An brilliant opportunity has arisen for a Personal Assistant to join a leading commerce company based in Trafford Park on a permanent basis. 

This is a well established and forward-thinking company who look after their staff and encourage progression. They are looking to recruit a Personal Assistant to support the CEO and CFO and provide wider support to other members of the head office team.

The company adopts a hybrid working model so you can split your time between their office in Trafford Park and home. A minimum of 2 days per week in the office will be required.

Duties will include: 

  • Handling communications on behalf of the CEO and CFO including management of digital diary, arranging/accepting meetings and fielding calls
  • Organise and co-ordinate travel and accommodation arrangements, including travel document management (passports, visas, local currency, Covid requirements etc)
  • Process expense claims
  • Forward planning and organisation of Company, Board and Executive Committee and other site / group company meetings
  • Support to Company Secretary in Board and Executive Committee collation of information/updates and papers
  • Meeting pack circulation through use of Diligent Boards and/or email
  • Formal minute taking at various Group meetings and circulation thereof
  • Companies House filing submissions (support of Group Finance and Company Secretary)
  • Events Management: including fundraising events, Company and Board meeting bookings, including ordering/sourcing catering and rooms, Christmas party 

Person Specification: 

  • At least 18 month’s previous administration experience including diary and travel management, preferably gained in a fast-paced environment
  • Ability to manage multiple tasks simultaneously, solve problems, manage and meet deadlines and maintain a high level of attention to detail and a high quality of work
  • Previous experience of meeting minute taking would be preferable
  • You will be computer literate with a working knowledge of MS Word, MS Excel, Powerpoint and related programs
  • Confident, inspirational and unflappable individual
  • Excellent communication (both written and verbal) with the ability to build rapport and communicate at all levels.
  • Discretion and a clear understanding of management of confidential/commercially sensitive information
  • A real team player, with personality, empathy and the drive to succeed
  • Great organisational skills and excellent attention to detail
  • The ability to multi task, prioritise and delegate when necessary
  • Possess flexibility and adaptability to manage changing work requirements and varying volumes of work

Usual working hours are 9-5.30 with 45 mins lunch Monday to Thursday and 9-4.15pm with 1 hr lunch Friday
